How to use the Invoice Checker in Outvio

The Invoice Checker helps you automatically verify the charges on your carrier invoices. With it, you can detect mistakes and make sure you are only paying for what you should.

Step 1: Upload your invoice

Some carriers apply a variable fuel surcharge that changes depending on the date. Select the percentage that matches the period of the invoice you are uploading so Outvio can check the charges correctly.

Step 2: Configure the data format

You need to set how Outvio should read the data from your invoice.

This step is important because invoices can come in many different formats, and the settings must match the format used in your invoice.

In general, the most important settings are:

  • Select the date format used
  • Choose how the values are separated (commas, semicolons, tabs, etc.)
  • Indicate the row where the information starts

Step 3: Map invoice fields

Mapping means telling Outvio which column in your invoice corresponds to the field Outvio needs to verify. Every carrier designs invoices differently, so mapping ensures Outvio knows where to find the right data.

To start, click on Mapping Settings.

Now, use the dropdown menus to map your invoice.

On the left side, you will see the column names exactly as they appear in your invoice. On the right side, you select the Outvio field that matches. This way, Outvio can correctly interpret your invoice data.

For example:

  • Albaran β†’ Tracking ID
  • Fecha Albaran β†’ Shipping date
  • Kilos β†’ Courier Weight
  • Importe (Euros) β†’ Total courier

If a column is not relevant, leave it as (no mapping).

⚠️ Once you complete this step, Outvio will save your mapping and reuse it for future invoices from the same carrier.

Step 4: Updating mappings for new invoice formats

If you later upload an invoice with a different format from the same carrier, Outvio will notify you to update the mapping. Once updated, the verification will continue as normal.
